This purchase order generator lets you create a clean, itemized PO and download it as a PDF in seconds. Fill in your buyer and vendor details, add the products or services you want to order, and watch a live preview build the finished document as you type.
A purchase order is the formal request a buyer issues to a supplier — listing items, quantities, agreed prices, and delivery terms — and it becomes a binding agreement once the vendor accepts it. This tool is built for small businesses, procurement teams, freelancers, and anyone who needs a professional PO without a spreadsheet template or accounting software.
How to Create a Purchase Order
Fill in PO details
Enter the PO Number, Date, and Delivery Date, then choose your Payment Terms and Shipping Method. The dates start filled in with today and a delivery date 14 days out, and you can pick your currency here too.
Add buyer and vendor
Type your own company details under Buyer (Your Company) and the supplier's details under Vendor (Supplier) — company name, address, contact name, email, and phone. The preview updates live as you go.
List your items
For each line, enter a description, quantity, and unit price; the amount calculates automatically. Use Add Item to create more rows, or remove a row with its trash icon (one line always stays).
Adjust the totals
Optionally add a Discount, Tax, and Shipping cost. Discount and tax each switch between a percentage and a fixed amount, and the subtotal and grand total recalculate in real time.
Write notes and terms
Add any message for the vendor under Notes and your standard Terms & Conditions. Both appear on the document only when you fill them in.
Export the PDF
Click Export PDF to download a formatted purchase order ready to send. The PO number automatically increments for your next order, and Save / Load let you reuse the whole order for recurring purchases.

Dark Mode
A built-in dark theme keeps the editor and preview comfortable to read in low light.

Frequently Asked Questions
What is a purchase order?
A purchase order (PO) is a document a buyer sends to a vendor that spells out the products or services to be bought, their quantities, the agreed prices, and the delivery terms. Once the supplier accepts it, the PO becomes a binding agreement, giving both sides a clear record of what was ordered.
What should a purchase order include?
A complete PO has a unique PO number and dates, the buyer's and vendor's details, an itemized list with quantities and unit prices, the totals (subtotal, any discount and tax, shipping, and grand total), the payment terms and shipping method, and space for notes, terms, and signatures. This generator includes all of these fields.
How do I create a purchase order?
Fill in the PO details, add your buyer and vendor information, list your items, adjust the discount, tax, and shipping, then add any notes and terms. The preview updates as you type, and the Export PDF button downloads the finished purchase order.
What is the difference between a purchase order and an invoice?
A purchase order is issued by the buyer to request goods or services before they are delivered. An invoice is issued by the seller afterward to request payment for what was supplied. The PO opens the transaction; the invoice closes it.
Is a purchase order a contract?
On its own a PO is an offer to buy. Once the vendor accepts it, it generally becomes a legally binding agreement covering the listed items, prices, and terms. For high-value or complex orders, many businesses still pair the PO with a separate written contract.
How is the tax calculated?
Tax is applied to the subtotal after the discount. For example, on a $1,000 subtotal with a 10% discount ($100) and 8% tax, the tax is 8% of $900, which is $72. Shipping is added separately to reach the grand total.
Can I customize the PO number format?
Yes. Type any format you like in the PO Number field, such as "PO-2026-001" or "ORD-001". When you export, the auto-increment keeps your prefix and zero-padding, so "PO-001" becomes "PO-002" and "ORD-0001" becomes "ORD-0002".
Can I download the purchase order as a PDF?
Yes. Click Export PDF to download a professionally formatted file with your header, itemized table, totals, notes, terms, and signature lines. If your items run long, the PDF automatically continues onto additional pages.
Is my purchase order data sent to a server?
All editing, calculating, and PDF generation happen in your browser, and nothing is uploaded just from typing. When you click Save, your order is stored in your browser's local storage; if you are signed in, it also syncs to your account so you can reopen it on other devices.
