How is the cost of a meeting calculated?
The calculator adds up every attendee's hourly rate to get a combined rate, then multiplies that by the meeting duration. For example, three people at $50, $75, and $100/hour have a combined rate of $225/hour, so a one-hour meeting costs $225.
How do you convert an annual salary to an hourly rate?
Switch the rate type to Annual Salary and the calculator divides each salary by 2,080 hours (40 hours/week × 52 weeks/year). A $104,000 salary becomes a $50 hourly rate.
How much does a one-hour meeting cost?
It depends on who is in the room. For a one-hour meeting the total simply equals the combined hourly rate of everyone attending. Five people averaging $75/hour cost $375 for the hour — and the same meeting held weekly runs to roughly $19,500 a year on the recurring projection.
What does "person-hours" mean?
Person-hours are the total time invested across everyone in the meeting. A one-hour meeting with five people equals five person-hours — five hours of combined productivity spent on a single meeting.
How are recurring meeting costs projected?
The single-meeting cost is multiplied by how often the meeting repeats: daily counts 22 occurrences a month (260 a year), weekly 4.33 a month (52 a year), biweekly 2.17 a month (26 a year), and monthly once. Quarterly and yearly figures scale from there.
Should I include overhead or benefits in the cost?
The calculator focuses on attendee time. To approximate benefits or overhead, enter a "loaded" rate higher than base pay, or add an extra attendee whose rate represents fixed costs such as hourly room rental.
Does the live timer change the calculated results?
No. The timer runs independently and bases its live cost on elapsed seconds and the current attendee rates. The main results always reflect the duration you typed into the fields.
